This policy explains how ClearClaim Verify handles public-site, account, support, billing, and eligibility workflow information. Public forms and email support should stay PHI-free.

Section 01

Our role and your organization


  • Almas Orbit LLC d/b/a ClearClaim Verify operates ClearClaim Verify and is the business responsible for this Privacy Policy.

  • ClearClaim handles business contact and public-site information for its own operations. When a healthcare organization uses ClearClaim Verify for patient eligibility, that organization controls why the patient information is submitted and ClearClaim processes it to provide the service.

  • Patients should direct record-access, correction, or deletion requests to the clinic or healthcare organization responsible for their record. ClearClaim assists customers as required by the applicable agreement and law.

  • This business service is not directed to children for personal or household use.

Section 02

Information we collect


  • Account and organization information, such as name, work email, organization name, role, invite status, usage-billing status, and support context.

  • Eligibility workflow information entered or generated inside ClearClaim Verify, which can include patient, payer, provider, service, benefit, handoff, review, and history details when a signed-in customer uses the product.

  • Insurance-card images submitted for card reading, the values extracted from those images, and the customer selections used to fill an eligibility form. Card images are processed for extraction and are not retained by ClearClaim after the reading completes.

  • Provider-enrollment information, such as NPI, public NPPES listing details, Tax ID, contact information, payer selections, enrollment status, and enrollment documents when a customer uses payer enrollment features.

  • Public website and demo-request information, such as name, work email, organization, role, and the PHI-free workflow description submitted through the public demo form.

  • Operational metadata, such as authentication events, account settings, usage counts, billing activity, audit events, saved workflow state, and support or troubleshooting context.

How we use information


  • To provide ClearClaim Verify, including eligibility workflow views, Check Details, copy-ready summaries, report PDFs, History, team workflow, account access, usage billing, support, and security review.

  • To route demo, support, billing, and account requests to the right follow-up path.

  • To maintain product safety, access controls, usage visibility, troubleshooting, fraud prevention, and service reliability.

  • To read insurance-card images, present extracted values for staff confirmation, and help the customer fill an eligibility form. ClearClaim does not automatically submit extracted values without customer review.

  • To validate public NPI listing details and transmit provider-enrollment information to payer-enrollment infrastructure when an authorized customer starts or manages an enrollment.

  • To improve public-site navigation and product workflows using analytics that do not include PHI, patient identifiers, payer responses, card images, or free-text eligibility details.

Section 04

Cookies and analytics


  • ClearClaim may use essential cookies or similar storage for sign-in, security, account routing, and normal product operation.

  • Public-site analytics are designed to measure page views and button clicks without collecting patient information, member IDs, payer responses, or public-form free text.

  • On cataloged public pages only, our hosting analytics provider may process the page path without query parameters, referrer, browser or device category, coarse location, and performance timings. Signed-in application, account, and request-detail routes are excluded from this public-site collection.

  • Within the signed-in ClearClaim Verify application, ClearClaim may record organization-level counts for a fixed list of screens and workflow actions. These product-usage counts do not include page URLs, user IDs, patient or member identifiers, payer names, check IDs, or free text, and only combined counts are exported to operations dashboards.

  • ClearClaim does not describe optional advertising or retargeting cookies as active unless the applicable notice and consent controls are available.

Section 05

PHI and healthcare data


  • ClearClaim Verify is built for healthcare eligibility workflows and may process protected health information when customers use the signed-in product.

  • A customer must have the legal authority to submit patient information and insurance-card images for the eligibility workflow it initiates.

  • Public website forms and support email are not the right place to send PHI. Do not submit patient names, member IDs, DOBs, policy numbers, payer responses containing patient information, or screenshots containing PHI through public channels.

  • When protected data is required for customer support, ClearClaim will provide a secure channel appropriate to the request.

Section 06

Sharing and subprocessors


  • We may disclose information to service providers that help operate hosting, authentication, email, billing, analytics, support, security, eligibility transactions, insurance-card extraction, public NPI lookup, and payer enrollment.

  • Insurance-card images are sent to the card-reading service provider only to return structured card details. Provider-enrollment information and required documents are sent to the applicable enrollment services and payer.

  • We do not sell patient information. We do not use public demo or support messages to ask for patient identifiers.

  • Formal customer agreements, business associate terms, security review, and procurement terms may provide additional requirements for production use.

  • Customers using ClearClaim Verify with PHI should review and accept the Business Associate Agreement through the signed-in account workflow before production PHI use.

Section 07

Retention, access, and choices


  • Completed eligibility records and selected extracted values remain available in the customer workflow and History, subject to the customer agreement, legal retention obligations, and authorized deletion handling.

  • Insurance-card images are removed after card reading completes. Uploaded Schedule Import source details are purged after 30 days or when the import is deleted sooner; completed eligibility results remain in History.

  • Provider enrollment profiles, encrypted Tax ID values, enrollment status, audit events, and document references remain while needed to manage the enrollment, meet contractual or legal obligations, or support an authorized deletion request.

  • Account, usage, audit, billing, support, security, and workflow records are retained for the period needed to operate the product, enforce agreements, investigate issues, and meet legal obligations. Backups and audit records may expire on a different schedule from active records.

  • Customers can contact support to ask about account access, organization ownership, usage-billing questions, or privacy requests.

  • Unsaved workflow notes may remain limited to the current browser session unless a signed-in workflow explicitly saves shared records.

Questions and policy changes


  • Contact support@clearclaimverify.com for questions about this policy, account information, or a privacy request. Do not include patient information in an initial public email.

  • ClearClaim may update this policy as the service, vendors, or legal requirements change. The effective date on this page identifies the current version.

  • A customer agreement or Business Associate Agreement may include additional privacy and security obligations for production use.
